MEDIA AND PUBLIC RELATIONS OFFICE’S DUTIES

INTRODUCTION

The Public Relations (PR) Office plays a crucial role in shaping and maintaining the public image of the university. This report outlines the comprehensive list of duties and responsibilities undertaken by the PR Office to fulfill its mission. 


The reputation of the University, what we do and say, and ultimately what people think about us, plays an integral part in our success. To help improve communication and understanding between the University and our stakeholders, the Public Relations Office:

  1. Handles the University's media relations, both proactive and responsive; 
  2. Writing and issuing Press Releases when appropriate; 
  3. Responding to press and media inquiries by phone and online; 
  4. Organizing media interviews; 
  5. Organizing press statements when necessary;
  6. Plans, compiles, edits, and sometimes designs the University's corporate promotional publications, both internal and external; 
  7. Develops and carries out promotional activities and plans;
  8. Organizes and manages media attendance at corporate events; 
  9. Advises departments and sections on all publicity and PR issues, including media liaison and promotional initiatives;
  10. Achieves and maintains the understanding, sympathy, and support of the target audience to the issues related to the University;
  11. Helps introduce to the public the efforts of the University by putting into life the principle "keeping in the forefront the public interest";
  12. Evaluates the response from the public concerning the activities of the University and provides the information to the University's top administrators;
  13. Prepares at the end of each academic year (July) the action plans and annual reports and submits them for approval;
  14. Creates and follows up the respective archives of the written and visual media news on the University and higher education;
  15. Corrects the non-real news that appeared in the press, provides recommendations, and assists in the preparation of comments to be made on the issue.
  16. Ensures the appointment for press interviews to be conducted with members of the university in accordance with the demands and Rector's permission;
  17. Records and archives all the scientific meetings, concerts, events, student clubs and organizations, conferences, etc., organized by the University;
  18. Informs and ensures the participation of the press in all the activities organized by the University;
  19. Prepares written, audio, and visual documents regarding the promotion of the University;
  20. Carries out the activities of welcome and hospitality to any visiting delegation to the University;
  21. Carries out other tasks to be given.

The Media and Public Relations Office works to produce and oversee the production of a full range of printed and electronic materials.

EPOKA University has only one logo, used on nearly all the printed materials representing the University.

  • Electronic files of the logo in several different formats are available for downloading.
  • The logo should not be recreated, and a copy cannot be used. Original files should be used.
  • Do not attempt to recreate the logo by using any AI program, AI programs cannot recreate logos accurately.


COMMUNICATION CHANNELS

The University uses the following official external communication:

  1. Media (Visual and Written) 
    The media constitutes one of the primary communication channels of the University. Newspapers, radio, and television serve as key platforms for disseminating information related to the University’s news, interviews, activities, conferences, and forums. As stipulated, the Media and Public Relations Office is the sole authorized unit responsible for issuing and managing official University communications.

  2. Internet 
    The University has an official website www.epoka.edu.al managed by the Media and Public Relations Office and the other units, which serves as the core web-based tool to prepare all company-related news and announcements.

These accounts of EPOKA University are administered by the Media and Public Relations Office. These platforms serve as official communication channels for disseminating general information about the University, including news, activities, interviews, forums, conferences, and events.


Official networking accounts can be opened upon approval of the Media and Public Relations Office.


All other accounts or groups using the University’s name will be considered cases of breach of the external communication policy of the University.


All personal communications of the university staff members on behalf of the University will be considered a breach of the communication policy.


CONFERENCES AND SYMPOSIUMS

Conferences and symposiums serve as important channels for representing EPOKA University and are conducted with the approval of the University’s management.


The said external communication policy aims at describing in a detailed manner the functions and duties of the Media and Public Relations Office at EPOKA University.


This external communication policy has been prepared in compliance with the Statute, Basic Regulation, and Regulation “On the administrative organisation at EPOKA University”, as amended.
